We are pleased to inform you that you have been accepted to participate in the ATHENS-course that will take place from 14 – 21 November, 2009. By now you should have received an email from the ATHENS administration office with vital information about your host institution. You will also find this vital information attached to this message.

Travel arrangements

Carefully check the dates and times you are expected to arrive at your destination before making your travel arrangements.

Take care of your travel arrangements as soon as possible; this helps to minimise costs

When arranging your journey please keep the dates and times of arrival at your destination in mind; you will not receive your credits or your scholarship sum if you arrive late for the kick-off or return home before the end of the programme.

Visa Turkey

All students going to Istanbul must check if they need an entry visa prior to departure.

It is important that you are properly insured. You should have a health insurance, liability insurance and travel insurance policy. TU Delft does not accept any liability or responsibility for any lack of insurance.


The host university will only arrange your accommodation if you have requested housing on your registration form. For further details please check the ATHENS website.


– The ATHENS course itself is free of charge;

– Travel/accommodation/living costs are at your own expense;

– A contribution for the social events is also at your own expense (it’s compulsory!).


Whilst visiting our Partner Universities you are an Ambassador of TU Delft, and therefore we expect you to be on your best behaviour. You are expected to attend all lectures, and to participate in the entire social programme. Furthermore, you are subject to all rules & regulations of your host university and the laws and procedures of the country in which that university is located.  Bad behaviour will not be tolerated. Each host university is free to apply its own sanctions to misbehaviour.


Since you have been placed for an ATHENS course you are committed to attend this course. It is not possible to cancel.

According to the ATHENS Student Commitment, students who cancel their participation must pay for all costs incurred. If you do cancel you will have to pay an administration fee of 50 Euros and the cancellation costs for accommodation and the social programme.


Students who participate successfully in the programme will receive €120,-. This sum will be automatically transferred to your account. We will use your data (address and bank account number) from the Central Student Administration database to make the payment. If you have any change in address or bank account, please inform us as soon as possible.

The marks for the November ATHENS courses will be known by the end of January 2010 at the latest. This means it could take up to the end of March 2010 before you receive the scholarship payment. Students who do not successfully finish their course do not receive the scholarship sum.

Recognition of credits obtained

Please take note of the following:

– You will need the original certificate with your results for the recognition of your ECTS credits;

– Please request this certificate at the end of the ATHENS week at the Host University ;

– In most cases your host university will send the certificates to the Delft International Office at a later date. In that case we will inform you when to collect your certificate.

– The number of ECTS credits obtained depends on your faculty;

– If you fail to obtain the certificate with your results, please contact the International Office no later than 1 March 2010 and we will request another for you;

– If you fail to request your certificate by that date or lose your certificate we will charge you an administration fee of at least €50 to request another.
– Your departmental coordinator for international exchange at your faculty can inform you further about the recognition of your credits;

– Your passport

– Your residence permit (if applicable)

– Your insurance card

– The emergency phone number
(which will be provided by the ATHENS organisation just before the ATHENS week)
